9/12/2012 MINUTES FROM WORK NIGHT & MEETING
MEETING WAS LED BY CRYSTAL, AMBER AND JAMIE
SIGN IN: parents will automatically be given two hours of time for each work night they attend. If both parents attend, they will get 4 hours.
VOLUNTEER HOURS: the board had wanted the sign ins to be in the individual teachers rooms. Jamie explained that the sign in volunteer hours book will continue to be in the office, above Yvonne.
H20ASIS: we did pull the names of the two tickets to H20asis - Amber will contact the winners.
TREASURER: Amber discuss money and collected any monies from families that were there and able to pay.
MEETINGS: we did discuss that the board will have 4 brief meetings, combined with work nights, yearly.
WORK NIGHTS: will happen monthly, but meetings will not. Each parent who helps with work night will be given two hours of volunteer time.
FOOD AT MEETINGS/WORK NIGHTS: parents REALLY like the idea of food and it's helpful for everybody who shows up. We will implement a ticket taker who will collect $5/family for food. This is a steal of a deal!
SECRETARY: position is open – Jamie has done it for 3+ years now. I announced it at the meeting and there were, surprisingly, MANY people open to taking the position over. I will be more than happy to help to transition the new secretary through the next few months.
ELECTIONS: All participants were informed that elections would be held in the spring and to start thinking about what they wanted to do / what position the want for the forthcoming 2013 board.
SIGN UPS: we did put out sign up logs for every single upcoming event and asked parents to please volunteer their time.

09/08/2012 board meeting minutes
Notes from the board meeting 9/8/2012
DUEs: there are approximately 22 families who have not paid their
dues this year. Amber intends on getting Kim & Yvonne involved from
the get go as some of these families have never paid their yearly dues
and are now in 5th grade.
BOARD MEETINGS: The board will have FOUR meetings yearly, these will
be either by themselves or combined with the monthly work nights.
DUES will be explained.
WORK NIGHT 9/12/2012: we have a work night Wednesday plus a meeting.
TEACHERS: please inform your families of this meeting as the board
does not have a working email list for 2012-2013 at this point.
9/12/12 SIGN UPS: the board meeting will be less than 20 minutes
long on 9/12/12 – the rest of the evening will be work night. All BOD
will be there and parents are encouraged to attend to ask questions,
sign up for all forthcoming events and to get their hours in. Crystal
will have a brief agenda and all sign up sheets.
5TH GRADE TRIP: the board wants to know the total cost of the 5th
grade trip so we know how much to budget when helping to pay for this
trip. Last year the total was about $800.
PIZZA AND SNACKS AT MEETINGS: will happen no longer as we spent
approximately $800 for this expense and it did not increase the number
of parents who were involved.
ELECTIONS: we will have elections this year. We will need to start
this discussion with potential replacements ASAP – as all BOD would
like to have their replacement shadow them so they can be taught some
of the harder things – especially Amber’s position. All current board
members will have fulfilled two or more years and our terms have ended
after this year.

will confirm, but it is believed that Bonnie will tally the numbers.
Jamie is making a sign up sheet for hours that will be hung by each
teachers white board of jobs. We think this will be easier for the
parents and less bulk on the main office countertop.

PACT 9/23/2011 - WOOHOO!
This PACT (Sept. 23rd) is a go. It will be from 1-3 p.m. The kids will have recess and then lunch. This follows their lunch time. The Blackhawk will be landing at 12 p.m. I will have markers for it on the ground behind the school. I have coordinated with Mrs. Bautista to have all recesses for the day inside. This will allow us to have the back yard to ourselves. I have also secured the Multi-Purpose Room and a mobile speaker system. The MPR will be in case of inclement weather. It's supposed to rain all week and be sunny on Friday (fingers crossed). Here is the timeline for the event:
12 p.m.-Helicopter lands
12:30 p.m.-Humvee arrives
1:00 p.m.-Parents and children meet behind the school (directed by me)
1-1:45-Soldiers will give speeches about their vehicles and their mission, then question and answer time
1:45-2:45-Students and parents will be able to see vehicles and, go in them, take pictures, etc.
This will be done orderly (K/1 will be on Humvee first) (2/3 will be on Black Hawk first) (4/5 will be on playground while waiting)
2:45-3:00-Mrs. Bautista will have the entire school outside against the building to watch the helicopter take off at 3 p.m.
Humvee- K/1, 4/5, 2/3
Blackhawk-2/3, K/1, 4/5
Playground-4/5, 2/3, K/1
These will be 20-25 minute groups. I will use the loudspeaker to change to groups. Please have the parents stay with their children throughout the entire time.
I will be at the school at 10 a.m. to set up. Instead of moving the chairs from the MPR outside, please have the parents bring blankets for the kids to sit on. The landing site on behind the school may change, and we won't have time to adjust the seats. Because of this, I will not need volunteers to run the stations. As long as the parents watch their kids (I understand some parents will not be there) we will be fine. I will handle the changing of the stations by giving out specific instructions before the presentation begins.
